Apply, Track, & Convert
Pillar 1: Apply, Track, and Convert (quick-start)
This is the foundation the next four pillars run on. Set it up now, and the whole search stops feeling like a lottery. Use the attached doc for the full depth and the attached Pipeline and Outreach Tracker as you go.
The core idea before you start: you do not apply to a cold lead the way you apply to a warm one. Get that one distinction right and everything else follows.
Stop applying the way everyone else does
Most people open a job board, hit Easy Apply on everything, send the same resume, do no research, and contact no human. It feels productive, but it is motion, not progress. Cold portal applications convert in the low single digits, because you are competing on a resume alone, judged by an ATS and a rushed recruiter, with no one advocating for you. Volume cannot fix a channel that is stacked against you. You have to change lanes: twenty targeted plays that each reach a human beat a hundred applications that each reach a machine. You are not an applicant waiting in a queue, you are an engineer reaching out to help solve a company's problem.
Warm leads vs cold leads
Warm lead: a company where you have a path to a human, a connection who works there or someone one step away who can refer you. Highest conversion, because a referral gets you past the pile. You work these through the relationship (Pillar 3).
Cold lead: a company where you have no connection. The portal is the black hole here. Instead you reach the decision maker directly. You work these through targeted outreach (Pillar 4).
Every company is one or the other. Your first move on each is to tag which.
The tools you'll use (quick tour)
Sales Navigator to find and message the exact hiring manager, engineering manager, or recruiter. Hunter.io and Apollo to find and verify their email. n8n to pull jobs straight from company career pages and flag the ones where you already have a connection. You'll go deep on each in a later pillar.
Track: run it like a pipeline
Use the companion tracker. Four tabs: a Start Here dashboard that auto-counts your pipeline and response rate, a Pipeline tab, an Outreach Log for logging every touch, and a Contacts tab. The Outreach Log is the part people skip and regret, because conversions are won and lost on follow-up and you can't follow up on a message you never logged. The two fields that carry everything are Status and Next Action. If every row has a next action with a date, you never stall.
Get your inputs ready
Two inputs feed the whole machine, built once:
Target criteria: your exact titles and level, comp band, and segment (stage/size, relationship to AI, industry). Build a starting list of 30 to 50-plus companies from your Signal Project research, similar-company searches, and recent funding announcements.
Connections export: in LinkedIn, Settings, Data privacy, get a copy of your data, select Connections. It arrives by email in minutes. Clean it (it goes stale), then cross-reference it against your targets, any first-degree connection at a target is an instant warm lead. This same file feeds the Pillar 2 pipeline.
Convert: turn applications into interviews
Applying is not converting. The core rule: never apply alone. Every application is paired with a human touch, a referral for warm leads, direct outreach plus proof for cold ones, sent together as one move.
Your one-pager: prepare it once. It links to your Signal Project (repo, demo, write-up), your design doc and decision log, a short description, and your resume and LinkedIn. Lead outreach with "here's a system I built for a problem your company has," not a resume attachment.
Follow-up sequence: day 0, day 3–4, day 8–10, day 14. Log each touch and add a little value each time.
Watch two ratios: outreach-to-reply (fix targeting or message if low) and interview-to-offer (that's interview prep, Modules 01–05).
Also convert by getting found
The inbound half compounds. Post on LinkedIn 2 to 4 times a week: build updates, technical breakdowns, lessons, demos, all repurposed from your Signal Project. Lead with a hook, keep it skimmable, add a visual, and engage with others. People who engage are warm signals, connect and message them.
Build in public
Share your work as you build it, not just the finished result: the problem, decisions, demos, milestones, even the failures. Post it on LinkedIn and X, keep a clean public GitHub repo, write it up on a blog or dev.to, and share in your niche communities. It creates a public, timestamped track record of you solving real problems, and it generates inbound. Consistency beats polish.
Optimize your profile for inbound
Your profile is your landing page and a recruiter decides in seconds. Headline: signal AI engineering with searchable keywords (LLMs, RAG, agents, Python), not just "Software Engineer." About: a tight narrative with the hook in the first two lines. Featured: pin your Signal Project and best posts. Experience and Skills: mirror your resume, AI-forward, with the exact keywords from target JDs. Turn on Open to Work. Cover the basics: clear photo, banner, custom URL, regular activity.
Set your cadence
A search is a numbers and momentum game. Pick weekly numbers you can hold for 6 to 8 weeks: for example 10 to 15 roles sourced, 5 to 10 warm asks, 10 to 15 cold outreaches, an application paired with each, 2 to 4 posts, and all due follow-ups cleared. Block your week (source and apply early, outreach and follow-ups mid-week, posting and review at the end), and check the dashboard weekly to see what to fix.
What you should have before moving on
The warm-vs-cold model clear, the tracker set up (example rows deleted), your target criteria and company list, your cleaned connections export, your one-pager, a profile tuned for inbound, and a weekly cadence you can keep.
Go deeper: the doc and the tracker
This is the quick-start. The attached Pillar 1 doc breaks down each section in full, and the attached Pipeline and Outreach Tracker is ready to use, just delete the example rows and start filling it in. Next up is Pillar 2, where you build the n8n pipeline from scratch. Bring your questions to the group calls.
